Acceptable Use

This policy sets out how the Cogniquix workspace may and may not be used. It forms part of our Terms of Service and applies to every colleague with access. Effective date: 2026.

Expected

Using the workspace well


The workspace exists to help companies coordinate their everyday work. We expect colleagues to use it in a way that respects their own company, their teammates, and the other people their work touches. Keep access details private, work within the role you have been given, and treat the content of the workspace with the same care you would give any business record.

Prohibited

What is not allowed


  • Unlawful content or activity of any kind, including anything that harms or threatens others.
  • Abuse of the workspace, including harassment of colleagues through its conversations.
  • Attempts to gain access you have not been granted, or to interfere with the service.
  • Uploading content that infringes the rights of another person or company.
  • Using the workspace to send unwanted messages or to gather information improperly.
  • Misusing assistants or connections to act without the confirmation they require.
  • Reselling or re-purposing the workspace without our written agreement.

This list is not exhaustive. The spirit of it is simple: do not use the workspace to harm others, to break the law, or to undermine the trust that makes it useful.

Access

Accounts and permissions


Each colleague uses their own access, and access is granted under a role an administrator assigns. Do not share sign-in details, and do not use another person's access. If you believe your access has been compromised, tell your administrator and write to [email protected] so that we can help you secure it.

When a colleague leaves a company, the administrator removes their access. The record of the work they did remains in the workspace, as described in our Privacy Policy.

Enforcement

If this policy is broken


Where we reasonably believe this policy has been breached, we may suspend the access involved, and we will tell the company's administrator why. Serious or repeated breaches may lead to the removal of access altogether. We aim to act fairly and proportionately, and to explain our reasoning rather than acting in silence.

Content

What belongs in the workspace


The workspace is a place for genuine business coordination. Content should serve that purpose and should respect the people who might read it. Where a company handles sensitive material, its own policies apply on top of this one, and colleagues should follow them. If you are unsure whether something is appropriate, ask your administrator; where a company cannot resolve it internally, write to [email protected].

We also ask teams to keep the workspace tidy in a human sense. A label that mocks a colleague, a thread used to exclude someone, or a note that causes harm does not belong here, however mild it seems to the person writing it. A workspace people trust is one where everyone can take part without bracing themselves.

Reporting

If you see something wrong


If you believe the workspace is being misused, tell your administrator first, since they know your company's rules and can act quickly. If the matter concerns the service itself, write to [email protected] with enough detail for us to look into it. We take reports seriously, we handle them discreetly, and we will not penalise anyone for raising a genuine concern in good faith.
